11 Ways to Simplify Business Processes

By Lisa Frank Published March 7, 2022 Updated July 18, 2025

Running a business is never an easy task. However, things seem to go a lot more smoothly when you have a plan and can keep your entire team on the same page. What’s the easiest way to accomplish this? By cutting out the clutter and taking a look at how things are handled now before making a few important changes.

To get you started, we’ve compiled a list of areas where most small companies and teams can find benefit in altering what they do. Here are eleven ways to simplify your business processes.

1. Outsource Areas Where You Aren’t an Expert

The first step in making things a lot more efficient and streamlined is to identify areas where you aren’t an expert and outsource them. Often, a consultant or third-party company likely knows more than you do about how to complete a specific task or activity much more efficiently. For example, an eCommerce brand might opt for third party logistics for warehousing and shipping fulfillment. The end result of the customer receiving an order is still the same, but the online brand is able to focus on bigger tasks that the 3PL takes on for them.

2. Remove What is Unnecessary

The next thing you need to do is remove what is unnecessary from the workflow. Often, this means really thinking about what it takes to get to the end result of booking a client for a service or shipping a product directly to them. Map out each step and decide which ones can be completely eliminated. You might actually be surprised by what you discover!

3. Hire the Right Team

Good people make it easier to run a more efficient business. When you can work to attract and employ great talent, there’s less time needed for things like training, mistake correction, customer service issues, etc. Focus on making your onboarding process as smooth as possible and implement programs for additional training when necessary.

4. Keep Your Goals in Mind

If you really want to simplify your business processes, you’ll want to keep your overall goals in mind first. Then decide if there’s a way to accomplish the same benchmark without so many steps or tasks. Which then allows you to make better decisions through either altering your current course of action or just doing something different altogether.

5. Use Automation When Possible

When it comes to making your business processes more simplified, automation is almost always a good answer. Depending on your niche, you might consider things like the automated dispatch of service teams, software that provides customer service responses, managing payments, or even immediate order fulfillment. Bottom line, any place you can get a computer to complete a step that would take a human to do, try to include it.

6. Have a Strong Set of Guidelines

A lot of time is lost when an employee or staff member is unclear on expectations to complete their job. Whenever possible, have a clear set of guidelines that make it simple to take on a task with no barriers along the way. If necessary, create a guidebook that everyone in the organization can refer back to later.

7. Focus on Clear Communication

When business processes get complicated, it tends to be due to communication issues. Instead, make it a point to focus on clear communication from the very beginning. By doing so, you can reduce hang-ups where someone might not know exactly how they’re supposed to handle a situation or what the expectations of a project actually are.

8. Make Decisions Based on Data

Another method for streamlining your business processes is to make decisions based on data. Accurately track how well your marketing campaigns are working, what sales are actually like, and areas where you can make improvements. Then ensure that all of your processes match your plan for growth while cutting anything else unnecessary.

9. Know When to Make Changes

If you’re looking to simplify processes within your business, you should also know when it is appropriate to make changes. Why? If you haven’t given a new guideline or software a chance to make an impact, then you don’t know whether it was actually successful or not. Instead, have a plan from the very beginning as to how long you want to give it before trying something else.

10. Standardize Basic Processes

If you’re in an industry where everything is pretty much the same from one customer to another, then it is a good idea to go ahead and standardize basic processes. By having a set method for accomplishing a task each time, you help eliminate guesswork and make it easier for employees to do their jobs more efficiently.

11. Know What Your Competition is Doing

When it comes to running a business, there’s a good chance that you’re not the first one in your niche or industry. Thus, you can simplify your business processes by looking at how they handle a similar task. If it makes sense, begin to implement it in your own company.
